The Transfer function is used to move active consignments between locations. It allows you to change the current location of one or more consignments, for example when a consignment is moved from one depot to another, onto a vehicleVehicles are the means of transport used by Couriers to make deliveries (bicycle, car, truck, etc.)., to a parcel collection point or to another location.
In Deliveo, locations are managed via the Master Data / Locations menu item. This is where available locations can be created and managed. The list of parcels at a given location can be retrieved in the parcel tables by filtering by the Location column.
Transfer can be used in two ways:
-
Bulk transfer – for moving multiple consignments selected on the basis of certain criteria simultaneously.
-
Parcel-level transfer – for moving consignments individually, typically using a barcode scanner.
Bulk transfer
Bulk transfer can be used when you wish to move several consignments to the same destination at the same time.
A typical use case might be, for example:
-
forwarding parcels dispatched from a specific depot;
-
sorting consignments bound for a specific city or district;
-
moving a specific customer’s consignments;
-
selecting consignments belonging to a specific partner;
-
sorting based on weight, volume or other parcel data.
Selecting source consignments
In the Filter panel on the left, first specify the Source location. The system will select and transfer shipments from this location.
Additional filter criteria can also be specified alongside the source location. The available criteria may include:
-
Customer
-
Partner
-
Collection time
-
Sender’s postcode
-
Sender’s access ID
-
Sender’s zone
-
Delivery timing
-
Recipient’s postcode
-
Recipient’s access ID
-
Recipient’s zone
-
Weight
-
Volume
-
Label printed
-
Posted
-
Received
-
Only items with a collection point
For postcodes and certain identifiers, both start and end values can be specified, allowing you to filter by range.
Shipments can be selected based on the thresholds specified using the Weight and Volume filters. Once you have entered the desired criteria, click the ‘Apply Filters’ button.
If any consignments matching the specified criteria are found at the source location, they will appear in the source-side list. The consignments you wish to move can be selected from here.
The list may also display the combined weight and volume of the selected consignments as summary information.
Filter templates
Frequently used filter settings can be saved as templates.
Enter a name in the ‘Template name’ field, then save the settings. You can then select the saved template later, so you do not need to re-enter the same filter criteria every time.
This is particularly useful if items are regularly forwarded or sorted according to the same criteria.
Specifying the destination location
Once the items have been selected, specify the Destination location. This is the location to which the selected items will be transferred. To carry out the operation, click the Transfer button.
Following a successful transfer, the current location of the selected consignments will change to the location specified as the destination. In summary, the process is as follows:
Source location → filtering → selecting shipments → Destination location → Transfer
Parcel-level transfer
Package-level transfer can be used for workflows where you wish to move parcels individually to another location.
This is typically useful for processing carried out using a barcode scanner, for example in a depot, during loading or in conveyor-based parcel handling. The function can be accessed via the ‘Parcel-level transfer’ button on the ‘Transfer’ page.
Destination location
The first step is to select the Destination location. All consignments successfully processed thereafter will be sent to this location.
Parcel identification
The consignment to be moved can be identified in the DeliveoIDUnique primary identifier for shipments in the Deliveo system. / ESID field. The identifier:
-
can be scanned using a barcode reader;
-
or can be entered manually.
If using a barcode scanner, place the cursor in the DeliveoIDUnique primary identifier for shipments in the Deliveo system. / ESID field, then scan the relevant barcode on the parcel’s label.
Ignoring characters in the identifier
Some barcodes may contain additional technical characters alongside the actual DeliveoIDUnique primary identifier for shipments in the Deliveo system. or ESID.
The following two settings are provided for this purpose:
-
Ignore this many characters from the start
-
Ignore this many characters from the end
The system will ignore the specified number of characters from the start or end of the scanned identifier and use the remaining string to identify the consignment.
This is useful if the barcode system you are using adds a prefix or suffix to the DeliveoIDUnique primary identifier for shipments in the Deliveo system. or ESID value.
Automatic processing
By enabling Automatic processing, the system carries out the transfer after scanning without any user intervention.
This is particularly useful for courierThe person who delivers Shipments to the recipient. services that process large volumes of parcels and use barcode-scanning gates or conveyor belt systems.
The ‘Time setting’ allows you to specify how long after the last character has been received the system should wait before automatically carrying out the operation.
The delay can be set in seconds. In the case of automatic processing, the workflow is, for example:
barcode scan → identification → set waiting time → automatic transfer
Manual processing
If automatic processing is not enabled, the transfer will only take place when the Transfer button is pressed, following scanning or manual entry of the identifier.
Manual processing is recommended if the operator needs to check or enter additional data before the transfer.
Weighing
The ‘Weighing’ function can be enabled for parcel-level transfers. In this case, the actual measured weight of the consignment can be entered in the ‘Weight’ field during the transfer.
The value entered updates the consignment’s previously recorded weight. If the consignment consists of multiple items, the system distributes the entered weight amongst the items in the consignment.
This is particularly useful in conveyor-belt processing, where the consignment can be weighed at the same time as the barcode is scanned, allowing the actual measured weight to be entered into the system.
The effect of the transfer
If the transfer is successful, the consignment’s current location changes to the specified destination location. The Transfer function therefore does not create a new consignment or modify the consignment’s basic details, but rather changes the current physical or logical location of the existing active consignment within the Deliveo system.
By using locations appropriately, it is possible, for example, to track whether a consignment:
-
is located in which depot;
-
which vehicleVehicles are the means of transport used by Couriers to make deliveries (bicycle, car, truck, etc.). it has been loaded onto;
-
is at which parcel point;
-
or at which other location in the delivery process it is situated.
